End of Semester To Do's and Information

At the end of each semester, you will Archive and Export your course for safe keeping. The Archive is a complete copy of the course with student work and grades. It is the faculty's responsibility to retain an archive of the course. The Export saves your content without the student work and grades. The Export may be used in the future to import content into a new Blackboard course shell.

To access the Archive:

  • Click the link below
  • Click Participant Login (if the window doesn’t automatically open for you)

  1. Archive - When your course is completely over you'll need to archive your course. Archiving gives you a complete copy of your course with the student activity. Once you archive the course, you'll download it to your hard drive, a cd, dvd, etc. for safe keeping. You should keep this for at least 2 years. Many instructors keep them indefinitely.

    Here's How:

    1. Go into the course that needs to be archived
    2. Go to the control panel
    3. Under "Course Options" click on Archive Course
    4. Click Archive in the menu bar
    5. Click Submit. You are told an email will be sent when the process is complete. Click OK.
    6. After you've received the email letting you know it has completed, return to the Archive area. The archive file is now listed; it is a .zip file.
    7. Click the archive file. An open or save as dialog box will appear. Click Save.
    8. Navigate to where you want to save this file on your hard drive and save the file.
    9. You will not be able to open this file from your hard drive. It can only be read by reinstalling the file onto Blackboard. This file will be used incase of student disputes.
    10. After downloading the archive, delete it from the course shell by clicking the Remove button.

  2. Export - At the end of each semester, you should Export your course to retain a copy of your course content. The Export can be used to import content back into Blackboard for another semester. It is also to ensure that you have an updated copy of your content.

Here's how:

  1. Go into the course that needs to be exported
  2. Go to the control panel
  3. Under "Course Options" click on Export Course.
  4. Click Export in the menu bar.
  5. In Step 3 of the Export choose the areas you want to include in the export. If you aren't sure, just check all the boxes to make sure you get everything. NOTE: If you are exporting assignments, tests or graded discussion boards you must select the Grade Center Columns and Settings option or these items will not be exported.
  6. Click Submit. You are told an email will be sent when the process is complete. Click OK.
  7. After you've received the email letting you know it has completed, return to the Export area. The export file is now listed; it is a .zip file.
  8. Click the export file. An open or save as dialog box will appear. Click Save.
  9. Navigate to where you want to save this file on your hard drive and save the file.
  10. This file can be used to import the content back into another Blackboard course shell
  1. *NEW -Access to previous semester courses has been revised based on faculty feedback -
    1. faculty:  Courses will remain accessible to faculty in Blackboard for one full year, at which time they will be removed from your Blackboard course list. For example, spring 08 will remain through Spring 09; summer 08 through summer 09; and fall 08 through fall 09.  Please continue to routinely archive and download your course at the end of every semester.
    2. students:  Courses will be made inaccessible to students thirty days (30) into the new semester.  If you want students to continue to have access (i.e. incompletes), please follow these directions:

      1. From inside the course, go to “Control Panel”.
      2. Click “Settings”.
      3. Click “Course Duration”.
      4. Set to continuous or choose a new end date.
      5. Click “Submit”.

    You may elect to disable access to the course for those students who have completed the course.  Follow these instructions:

    1. From inside the course, go to “Control Panel”.
    2. Click “List/Modify Users”
    3. Click the “Search” button.
    4. Click “Properties” next to the student that does NOT need further access to the course.
    5. In section 4 “Roles and Availability” change the “Availability” drop-down list to “No”.
    6. Click “Submit”.
    7. Repeat the process for all students who will not need access to the course to finish the incomplete.
  1. Grades - Grades still must be turned in to Peoplesoft, they are not transferred from Blackboard automatically. You can download your grades to excel from Blackboard.
    1. Go to the control panel
    2. Go to the Grade Center
    3. Hover over the Manage button on the tool bar and select Download
    4. In Step 1 select Full Grade Center
    5. In Step 2 choose comma or tab delimiter file (both will open in Excel)
    6. In Step 3 choose My computer (this will download to your hard drive)
    7. Click Submit
    8. You'll be taken to another page with a Download button. Click Download.
    9. When the open/save as dialog box opens, click Save As. Navigate to where you want to save this file on your hard drive. You can change the name if you like.
    10. Once you have save the file, when you open it, it will open in Excel and you can manage it as you would any other Excel file.
